# Invite your team and review who logged in

> Go to Settings → Web Users and click Invite New User. Enter the email, a phone number for two-step verification, a name and the role, and click Send Invitation. The person gets a "Welcome to TCXC" email with a link to choose their own username and password. Logs → Web Access shows every page request made on your account for the last 30 days.

## How a colleague gets their own login

1. **Main user**: Invites from Settings → Web Users
2. **Colleague** (via Welcome to TCXC email): Chooses their own username and password
3. **Access role** (via signs in): Default, Finance or Seller Access limits
4. **Web Access log** (via logged): Every page request, kept 30 days

Sharing one login makes it impossible to tell who changed a route or ordered a top-up. **Web Users** gives each colleague their own username and password on your account, with a role, and the **Web Access** log shows what everyone did.

## How do I invite a colleague?

1. Go to **Settings → Web Users**. The **My Team** page lists your users.
2. Click **Invite New User**.
3. Fill in:
    - **Email Address**: where the invitation goes. It must not already be used by another TelecomsXchange user.
    - **Phone Number (For 2FA)**: with the country code, such as `+19542405411`. It is used for two-step verification.
    - **Friendly Name**: the name shown in the list and in logs.
    - **Access Role**: **Default - Standard Access**, **Finance - Financial Management** or, when your buyer account is linked to a seller account, **Seller Access - Vendor Management**.
4. Click **Send Invitation**.

You'll see "Web User has been added", and the user appears as **Pending Invite** until they finish. They get a "Welcome to TCXC" email with a **Create your login** button that opens **Create Web User**, where they choose a **Username** and a **Password** of at least 8 characters. After "User Created Successfully" they sign in at the normal login page with their own username and password. Each invitation link works once; choose **Resend Invite** from a pending user's **⋮** menu to send a fresh one.

When an invited user is signed in, the portal shows the account as "your login via their login", so your Messages and settings are shared while the activity is theirs.

## What can each role do?

Every invited user can use the buyer portal like the main account: accounts, Market View and purchases, interconnections, top-ups, DIDs, records and HLR lookups. The differences:

| | Default | Finance | Seller Access |
|---|---|---|---|
| Invite or edit web users | No | No | No |
| Web Access log | No | No | No |
| Login timeout and profile photo | No | No | No |
| Routing Groups | Yes | **No** | Yes |
| Switch to the linked seller panel | No | No | **Yes** |

**Seller Access** appears only when TelecomsXchange has linked your buyer account to a seller account. Such a user, like the main account, gets a **Switch to Seller Panel** button on the dashboard. Ask [support](mailto:support@telecomsxchange.com) to link accounts.

## How do I change or remove a user?

In **Web Users**, each user's row has a **⋮** menu under **Actions**:

- **Edit User** changes the user's **Role**. Username, name and email can't be changed; invite a new user instead.
- **Deactivate** blocks the user at once; **Activate** lets them back in. A user who enters a wrong two-step code more than four times is blocked automatically and shows as **Blocked**: choose **Activate** to unblock them.
- **Resend Invite** sends a new invitation link to a user whose status is **Invite Pending**.

## How does two-step verification work for my team?

Each user turns it on for themselves: **Settings → Profile & Preferences → Enable Two-Step Verification**. From then on, every login sends a 4-digit code by SMS to the phone number from their invitation, which they enter on the **Enter OTP** screen. A browser that has passed the check isn't asked again for 7 days. Users can also change their own password there.

## How do I see who did what?

1. Go to **Logs → Web Access**.
2. Set **From Date** and **To Date**; the page opens on the last 24 hours.
3. Click **Search Logs**.

![The Web Access Log with the date filters and each request's username, source IP address, request URI, request details and time](https://help.telecomsxchange.com/assets/screenshots/buyer-web-access.jpg)

Every page request made on your account is listed with the **Username** (the invited user's login, or yours), **Source IP Address**, **Request URI**, **Request Details** (the form fields sent, with passwords masked) and **Date/Time**. Click **Download <n> Entries** for a CSV. Entries are kept for 30 days.

Use it to confirm who placed an order, changed an account or logged in from an unexpected address.

## What if something goes wrong?

| You see | What to do |
|---|---|
| Invalid email format | Enter a full address such as `name@company.com`. |
| This email is already in use | The address already belongs to a TelecomsXchange user. Use another one. |
| Invalid SMS Number format | Enter 8 to 14 digits with the country code, such as `+19542405411`. |
| The link is used up or broken | The invitation was already used or replaced. Choose **Resend Invite** from the user's **⋮** menu. |
| This login is already used, please choose another one | The username is taken. The user should pick another. |
| The password should contain at least 8 characters | Choose a longer password. |
| Your account has been blocked | More than four wrong two-step codes. The main account clicks **Activate** on the user. |

## Frequently asked questions

**Q: Who can invite users?**

A: Only the main account. Invited users don't see Web Users or the Web Access log.

**Q: What can a Finance user not do?**

A: Manage routing groups. Everything else in the buyer portal, including accounts, Market View, purchases, top-ups and records, works as for the main account.

**Q: A colleague left. How do I remove their access?**

A: In Web Users, click Deactivate on their row. They can't log in until you click Activate again.

**Q: How does two-step verification work for invited users?**

A: Each user turns it on for themselves under Profile & Preferences → Enable Two-Step Verification. A 4-digit code is then sent by SMS to the phone number from the invitation at every login, and a browser that passed the check is remembered for 7 days.

**Q: How long is the Web Access log kept?**

A: 30 days. Download it as CSV if you need to keep it longer.
