# Preferences, email notifications and messaging sellers

> Go to Settings → Profile & Preferences, change your login, security, API and email settings, and click Update Preferences. Login Timeout is the idle auto-logout in minutes (0 = never). To contact a seller, open their profile, click Send Message, and read replies under the envelope icon.

## How a seller's rate change reaches you

1. **Seller**: Changes rates on a route you bought
2. **TelecomsXchange** (via new rate deck): Skips routes you have blocked
3. **Your inboxes** (via Rates Subject Template): Main email and every Rates Email address
4. **Rate update CSV** (via zipped attachment): Prices, intervals and Change Status per row

Profile & Preferences controls how you sign in, whether the API is on, and which addresses get rate sheets and balance alerts. You can also message sellers and review them from their profile.

## How do I change my preferences?

1. Go to **Settings → Profile & Preferences**, or click your avatar in the top bar.

![The Account Preferences page with Login Settings, System Settings and Company Profile](https://help.telecomsxchange.com/assets/screenshots/buyer-preferences.jpg)

2. Change the fields you need (see the table below).
3. Click **Update Preferences**.

You'll see "Your profile has been updated." If you changed your Public, NOC, Rates or Billing email, TelecomsXchange also sends a "TCXC Email change notification" to your main email.

These are the sections on the page:

| Section | What you can set |
|---|---|
| **Profile Image** | **Upload New Photo**: PNG only, 278x278 px recommended. Until you upload one, your avatar shows the first letter of your login |
| **Login Settings** | **New Password** and **Confirm Password** (at least 8 characters; leave blank to keep the current one). **Login Username**, **Email Address**, **SMS Phone** and **RMD Number** are shown for reference; ask support@telecomsxchange.com to change them. |
| **Security Settings** | **Enable Two-Step Verification** (a texted code at sign-in) and **Login Timeout (minutes)**: the idle time after which you're logged out. `0` means never. The new value applies to your current session as soon as you save. |
| **System Settings** | **Send Daily Statistics Email**, **Max Allowed Price**, your **API Key** and **Allow API Access**. Clicking **Regenerate** replaces the key immediately, without **Update Preferences**; update any integration that uses the old one. See [Use the API](https://help.telecomsxchange.com/buyers/api/). |
| **Company Profile** | Company and contact details, **Public Email**, **NOC Email**, **Rates Email**, **Billing / Accounting Email** and **Rates Subject Template** |

To put several addresses in **Rates Email**, **NOC Email** or **Billing / Accounting Email**, separate them with commas and no spaces, for example `rates@example.com,noc@example.com`.

Web users (team members) see a shorter page: they can change their own password and two-step verification only. The photo, Login Timeout and company settings belong to the main account.

## Which emails will TelecomsXchange send me?

| Email | Sent to | When |
|---|---|---|
| Purchased Route Confirmation ("You're Interconnected!") | Main email | A few minutes after you buy a route. It includes the host, tech prefix, codecs and rate sheet. |
| Rate updates | Main email and **Rates Email** | When a seller changes rates on a route you bought. Not sent for routes you've blocked. The attached CSV lists Country, Description, Prefix, Effective From, the prices and intervals (SMS: MCCMNC and Price) and a **Change Status** per row. |
| Account Low Balance Notification ("Low Balance Alert") | Main email and **Billing / Accounting Email** | When an account's balance drops below its **Notify if balance lower than** value. Has a **Top up balance** button. |
| Daily report | Main email | Every day, if **Send Daily Statistics Email** is on. The report is attached. |
| Phone Numbers Renewal Reminder | Main email | When your numbers renew within the next 7 days |
| Important Alert! | Main email (and SMS) | When an account, authorized IP or login is added ("New origination account registered" / "New origination IP registered"), and when an additional IP is removed or changed ("Origination IP address has been removed") |
| TCXC Email change notification | Main email | When you change your Public, NOC, Rates or Billing email |

!!! tip
Use **Rates Subject Template** to make rate emails easy to filter, for example `[TCXC rates] {{seller}} / {{route}}`. The variables are `{{seller}}`, `{{route}}` and `{{product}}` (Voice or SMS).

## How do I message a seller?

1. Click a seller's name in **Market View** or **My Interconnections**. Their **Vendor Profile** opens, with company information, **Member Since**, an **Available Routes** table (each route with its capacity, a **Download Tariff** icon and a **Purchase Route** icon) and **Reviews** with the average rating, for example "4.5/5.0 (12 reviews)".
2. Click **Send Message**.
3. Enter a **Subject** and your message.
4. Click **Send Message**.

The seller gets an email about your message, and you'll see it in your **Sent** messages. If the seller is anonymous, the message still reaches them and their name stays hidden; in your inbox they appear as "Anonymous Owner of Route *name*" (or "Anonymous Owner of DID Number *n*").

## How do I read and answer messages?

1. Click the **envelope icon** in the top bar. A red badge shows how many messages are unread.
2. Choose **Inbox** or **Sent**.
3. Click **Read** next to a message. Messages from TelecomsXchange staff show the sender **TelecomsXchange**, and a reply shows an **In Reply To** link to the message it answers.
4. Type your answer under **Reply to this Message** and click **Send Reply**.

You can reply only to messages addressed to you (not to your own sent messages). The seller gets an email about your reply; replies to TelecomsXchange staff stay in the portal. Replies to an anonymous seller are marked "(Anonymously)".

## How do I review a seller?

1. Open the seller's **Vendor Profile**.
2. Under **Leave Feedback**, choose a **Rating** from 5 - Excellent to 1 - Poor.
3. Write **Your Review** (more than 3 characters).
4. Click **Submit Review**.

Your review appears under **Reviews** on the seller's profile, where other buyers can read it.

## How do I add team members?

The main user goes to **Settings → Web Users** and clicks **Invite New User**; roles, blocking users and the **Logs → Web Access** log are covered in [Invite your team and review who logged in](https://help.telecomsxchange.com/buyers/web-users-and-access-logs/).

## What if something goes wrong?

| You see | What to do |
|---|---|
| ERROR! 'Password' should be at least 8 chars | Use a password of 8 or more characters. |
| ERROR!'Passwords' don't match | Type the same password in **New Password** and **Confirm Password**. |
| ERROR! Enter valid Rates Email address! | Check each address. Separate several addresses with commas and no spaces. The same applies to the NOC and Billing email errors. |
| ERROR! The uploaded profile picture is not a valid image. | The file isn't a readable PNG. Export the picture again as PNG and upload it. |
| Empty subject is not allowed | Enter a **Subject** before you send the message. |
| Empty message is not allowed | Type a message before you send it. |

## Frequently asked questions

**Q: Where do rate change notifications go?**

A: To your main email and your Rates Email, for every purchased route you haven't blocked. Each email has the changed rates attached as a zipped CSV file named <seller>_<route>_rates_update.csv.zip.

**Q: Can I customize the subject of rate update emails?**

A: Yes. Set Rates Subject Template in Settings → Profile & Preferences. You can use {{seller}}, {{route}} and {{product}} as variables.

**Q: What does Login Timeout do?**

A: It is the idle auto-logout in minutes: after that long without opening a page, you are signed out. Enter 0 to never be logged out automatically. The new value applies as soon as you save.

**Q: Who receives low-balance alerts?**

A: Your main email and every address in Billing / Accounting Email. The alert is sent when an account's balance drops below its Notify if balance lower than value.

**Q: How do I message a seller?**

A: Click the seller's name in Market View or My Interconnections to open their profile, then click Send Message. You can message anonymous sellers too; their identity stays hidden.

**Q: How do I give colleagues access?**

A: The main user goes to Settings → Web Users and clicks Invite New User. Each colleague gets their own login, so nobody shares the main password. See the Web Users guide for roles and the access log.
